AI operations for hotel groups & portfolios.

We design, build, and run the AI systems that remove hundreds of hours of recurring work across your properties every month.

The owner's calendar is the bottleneck.

Most owners and GMs we speak with aren't asking for "AI tools." They're saying something simpler:

"I'm buried in recurring tasks."

"Everything runs through me."

"I don't have time to fix the systems that are eating my time."

Email triage, check-in chasing, housekeeping rosters, receipt filing, rate scans, restaurant and experience bookings, repetitive guest communication about the same five topics. They're the bulk of an owner-operator's week, they pile up, and they're exactly the kind of work an AI agent can do reliably once it's properly set up against your PMS, email, and calendar.

We design, build, and run AI-enabled operations for independent hotel groups, branded portfolios, and large independent properties. You see what's happening across every property and quietly remove hundreds of hours of recurring work each month, without compromising guest experience or brand standards. No new dashboards, no new logins, no platform lock-in.

It's built for groups and portfolios running 2 to 30 properties. The one requirement: your PMS exposes an API (Mews, Apaleo, Cloudbeds, SiteMinder).

Typical focus areas.

The workflows that come up in almost every mapping call. We pick one for the free prototype, then expand from there during the pilot.

Guest communication

Reading the inbox, classifying inquiries, drafting personalised responses in your tone across email, OTA messaging, and contact forms. Owner approves and sends until trust is earned.

Restaurant & experience bookings

Coordinating dining, tastings, spa, tours, and add-on experiences without manual back-and-forth between the front desk and external providers.

Front-desk triage

Routing tasks to the right department, generating housekeeping schedules from PMS bookings, flagging room conflicts before guests arrive.

Revenue & reporting workflows

Daily briefings, rate scans against competitor OTA listings, sales log reconciliation, gift card tracking, receipt filing into the right Drive folders.

Four phases. Mapping is free, the prototype is $500 with a full money-back guarantee.

You don't commit to a pilot until you've seen working software on your own data, with a real cost-vs-savings view you can take to your accountant. If the prototype doesn't deliver what we said it would, you get the $500 back, no questions asked.

AI Operations Mapping

We walk through your current operations: properties, systems, the workflows that eat the owner's week. By the end you have a written list of 3 to 7 candidate workflows ranked by hours saved per week, plus an honest note on which ones are realistic given your PMS and email setup.

Working Prototype & ROI Snapshot

We build a functioning prototype for ONE workflow on your real data, typically guest email triage or the morning briefing. You get to use it for a week. Alongside the prototype, a simple cost-vs-savings sheet so the decision to proceed isn't a leap of faith. If you're not satisfied with what we delivered, you get the $500 back, no questions asked, and you keep the prototype.

60–90 Day Pilot

If the prototype and the numbers make sense, we automate three to five additional workflows across the group. Weekly review. Full documentation. Success measured on the percentage of guest contacts handled by AI, hours of manual work removed, and error rates against pre-pilot baseline.

Format From $2,000/mo
60–90 days
Bounded engagement

AI Ops Partner (optional)

After the pilot, an optional ongoing relationship for monitoring, new automations as the operation changes, and quarterly review. If you'd rather take it in-house or hand off to your own team, the documentation we wrote during the pilot is enough to do that cleanly.

How much could you save?

Five inputs, your own numbers, updates as you type. A sketch, not a promise. The real estimate happens on the mapping call.

How many in the group.
Sum across all properties.
Owner + GM + ops time on recurring tasks.
Conservative owner-time valuation.
Pilots typically land between 50% and 70%.

Estimates only. Actual hours back depend on PMS API quality, current workflow shape, and which workflows you pick to automate first.

Built for independent hotel groups.

We work with operators who run:

If you're already investing in technology, a modern PMS, a channel manager, a CRM, and you still feel "everything runs through me" on the operational side, that's the gap we close.

The one thing that has to be true

Your PMS must expose an API (Mews, Apaleo, Cloudbeds, SiteMinder, Little Hotelier and similar). Without that, automation isn't safely possible and we'll say so on the first call rather than wasting either of our time. Opera Cloud is workable in some configurations. Legacy on-prem systems are not.

Operations-first. Owner-friendly. No lock-in.

Founder-led, small on purpose.

Frequently asked questions.

What does the pilot actually cost?
From $2,000/month for a 60–90 day pilot, scoped during step 02 based on the workflows you pick. Includes weekly review, all documentation, and the right for your team to keep and modify everything we build. There is no setup fee on top of that. Tooling costs (your existing PMS, your existing email, plus typically $200–$500/month of additional AI usage) are billed to you directly so you control them.
Why $500 for the prototype, and what does the guarantee actually mean?
$500 is small enough that the decision to try us isn't a leap, and large enough that we both take it seriously. We refund it, in full, no questions asked, if you're not satisfied with what we delivered, and you keep the prototype either way. The point is to make it as close to risk-free as we can without pretending the work is worth nothing.
What if our PMS doesn't have a proper API?
We'll tell you on the mapping call. Without API access to bookings, guests, and rates, the workflows that actually save hours aren't safely possible. In that case the most useful thing we can do is point you at a PMS migration path, which is usually a longer project than what we cover.
Will the AI take over guest communication?
No. The default pattern is: AI reads the inbox, classifies what's there, drafts a response in your tone, and waits for an owner or front-desk approval before sending. After a few weeks, the workflows you've explicitly trusted can move to auto-send for low-risk message types (confirmations, standard FAQ replies). You decide the line.
Do we have to commit to the AI Ops Partner after the pilot?
No. The pilot ends with full documentation handed over. You can keep the system running yourself, hand it to an in-house person, or continue with us. Your call. The retainer is opt-in and cancellable on 30 days' notice.
Where are you based, and what languages do you work in?
UK-based, working with hotel groups across the UK, Ireland, and Western Europe. Workflows can be built to draft guest communication in English and at least one other language per property if that's how your guests write to you.
